RMPA Meeting Minutes November 15, 2018 7:00 p.m.
Present: Gus Mercer, Scott Knight, Dean Ozard, Mel Ozard, Michelle Hoenisch, Andrea Lauzon, Shannon Gustafson, Allison Bergman, Andrea DeLange, Laura Alcaraz-Sehn, Kelly Edwards, Dave Andersen, Tara Nargang, Sherrie Hutchinson, Jamie Davis, Katy Kerr
Apologies: Tracy Byrne, Ann-Marie Gilbert, Tracy Laramee
Chairs Report: Suggestion: Introduce a green initiative at concerts and other music program events, using reusable coffee mugs. We can do a call out for mug donations which can be housed in uniform storage room. Tracy is willing to bring them out, wash them, and put them back. There is a kitchen available as well. Andrea will bring a compost for paper plates.
Concert coffee provider – Tim Hortons. They didn’t want to be acknowledged because it was by donation. We will acknowledge their support to music program at the end of the year as well as a thank you letter.
50/50 Tickets – Would be helpful to have Volunteers for the year so that we can have a list of people to call.
Directors Reports:
Jamie Davis:
Sr Jazz band – Great kick off and every single child in a Halloween costume.
Back in Action Concert – kids did a great job, super proud of them. Kids felt positive about it.
Discussion about the number of kids and families that left the concert at half time. It was disheartening for many. Ideas: sign in and sign out for students; reminders to kids at the beginning of the concert so that parents are reminded as well. The music program has always been a community and staying for the concert supports that philosophy.
Term 1 has ended successfully. Almost every Grade 9 kid completed their requirements.
Term 2 – Carol Band up and running; played tonight at Saanich garden works. Carol Band has 10 gigs coming up. Requests still coming in, but we are full.
Katy Kerr:
Choir-  trip tomorrow to Comox for festival. Kids sound outstanding. Everyone is excited.
Musical – finished the number a month ahead of time. Dec 12 is the Winter Show Case (see Dates to Note 2018-19 on website). Costuming is finished. Crew is huge this year. Woodshop teacher is also helping. The musical has been very fun so far.
Strings – playing tests are completed. It’s an exceptional group and the number of kids is double last year.
All Music Dates for the year are on website. It is an impressive list!
Discussion: Music tours – New document. This outlines The Travel Philosophy. The travel philosophy is meant to provide parameters and explain that music trips are an effort to incorporate a balance between: education, performance opportunities and fun/team building. This document will be available for parents on the website.
Senior Tour was approved to go to California. Travel documents to come next week. Sr Choir are included in this tour.
Treasurer’s Report – Andrea L
Fundraising from first concert – almost $1000 (bake, 50/50, tuba, coffee)
Music Council – Astrid Nieman, not present. Update: Nov 26, Music Wear orders are due; movie night was a success.
Fundraising:
Poinsettia Sales – 1300.00 made for student accounts
Hillside Night of Lights – Good and full for coat check. Ticket sales are done, money was due the following day, Nov 16th. Sunday is the Hillside Night of Lights!
Purdys – no update information on Facebook yet. Purdy’s ¼ way through fundraising goal. Due Nov 26th. Working on updating website so parents can keep an eye on student totals.
Tree Recycling – We have bins, Camosun print shop is doing flyers and next step is volunteer site.
Student Accounts – Kelly All Grade 9’s are updated and in the system. Some kids have chosen to use student account money for uniforms and choir trip. There is a bit of a delay for grocery card money.
Idea: Attach transfer of fund form with trip info for parents (especially new parents) so that they know they can pay for trips with student account money.
Website – Andrea Updated frequently. Countdown to due date for Purdys Chocolates and music wear. You can shop on the site but can’t pay on the website. Updated all Ensembles; Working on graphics; Potential new Logo coming.
PAC update – Review and approval from gaming. New survey coming out regarding catchment.
Other business: Cedar Hill/Reynolds collaborative dance fundraiser – 2 or 3 RMPA Reps on planning committee with Cedar Hill. Details: May 4th, no location yet. Star Wars themed evening. Parents only, dance including liquor license.
Grocery Card balances – Question and discussion: initiative to automate so that parents know their Thrifty’s balance? Volunteer who knows how to do this? 4% goes to student accounts and 1% to RMPA.
